Terms & Conditions

These terms govern your rental and use of safe deposit boxes at Nairobi Safe Vault, Nairobi, Kenya. Please read them carefully before renting a box — they form part of your rental agreement.

1. About us

“We”, “us” and “our” mean Nairobi Safe Vault, operator of a private safe deposit facility at Westlands, Nairobi, Kenya. “You” means the renter of a safe deposit box. “Agreement” means these terms together with your signed rental contract.

2. Our service

We rent private safe deposit boxes inside a purpose-built, monitored, access-controlled vault. Registered members enjoy 24/7 smart access via biometric verification, subject to the access rules in your rental contract.

3. Eligibility & registration

You must be at least 18 years old and provide valid identification (Kenyan national ID or passport) and proof of address. Registration typically takes minutes. We may decline an application where legal, regulatory or security concerns exist — at our discretion, without obligation to state a reason.

4. Dual-key control

Every box opens only with your personal key together with our guardian key. Your box cannot be opened without you — or an authorised user you have nominated in writing — being present. Never share your key with anyone else; doing so is at your sole risk.

5. Authorised users

You may nominate trusted persons (a spouse, business partner or representative) for authorised access by written instruction. You remain responsible for their use of the box, and you may revoke their access in writing at any time.

6. Lost or stolen keys

If your key is lost or stolen, notify us immediately. We will verify your identity and drill and replace the lock with you present. A key replacement fee of [amount] applies. Your contents are never at risk and never handled without you.

7. Prohibited items

You may not store: illegal items of any kind; firearms or ammunition; perishables; hazardous, flammable or radioactive materials; or anything whose storage would breach Kenyan law. Storage of cash is subject to applicable Kenyan regulations — ask our team for guidance. Where we reasonably suspect prohibited contents, we may require the box to be opened with you present.

8. Insurance

Every box includes cover against fire, theft and damage while your contents are inside the vault, up to [amount — full policy schedule available at our front desk]. For high-value collections, we recommend a professional valuation and independent top-up cover.

9. Fees, payment & renewal

Rental fees are quoted in USD and billed annually in advance, payable by M-Pesa, card or bank transfer. We send a renewal reminder before your term expires — we never auto-charge. Box sizes may be upgraded or downgraded at any time; adjustments are reflected in your renewal.

10. Lapsed rentals & unclaimed boxes

If your rental lapses, we will attempt to contact you through your registered details for [X] months. Thereafter, we may open the box in the presence of an independent witness, inventory and securely store the contents, and pursue recovery of outstanding fees. Unclaimed contents are handled in accordance with Kenyan law.

11. Access restrictions

We may temporarily restrict vault access during genuine emergencies — fire, security threat, or a government or regulatory order. If restriction extends beyond [X] days, you are entitled to a pro-rata credit of your rental fee.

12. Liability

We are liable for loss of or damage to your contents caused by our negligence, up to the insurance limits in clause 8. We are not liable for events beyond our reasonable control, or for losses arising from your breach of these terms — for example, sharing your key or storing prohibited items. Nothing in these terms excludes liability that cannot be excluded under Kenyan law.

13. Ending the agreement

You may end this Agreement at any time by emptying your box and returning your key. Fees for the remaining term are [non-refundable / refundable pro-rata — client to decide]. We may end the Agreement for breach of these terms, with reasonable notice, following the process in clause 10 where contents remain.

14. Your privacy

For how we collect and handle your personal data, see our Privacy Policy.

15. Governing law

These terms are governed by the laws of the Republic of Kenya, and any dispute falls under the exclusive jurisdiction of the Kenyan courts, with Nairobi as the agreed forum.
